1. Purpose and Scope
Castlewood Fire & Rescue, Inc. (“Castlewood Fire & Rescue,” “we,” “us,” or “our”) provides this learning management system to support education, training, professional development, and related administrative activities.
This policy applies to all students, members, instructors, administrators, guests, and other authorized users. It governs access to the platform and the use of its courses, assessments, discussions, messaging, files, and other features.
By accepting this policy, you agree to follow these terms and any additional requirements communicated for your course or role.
2. Authorized Access and Accounts
Access is limited to individuals authorized by Castlewood Fire & Rescue or an approved course administrator.
You must:
-
Provide accurate registration and profile information.
-
Use your own assigned account.
-
Keep your password and authentication methods confidential.
-
Maintain an accessible email address for account and course communications.
-
Notify the website administrator promptly if you suspect unauthorized access.
-
Sign out when using a shared or public device.
You may not share accounts, allow someone else to complete activities under your name, impersonate another person, or use another person’s credentials.
Account access does not establish membership, employment, operational authorization, or eligibility for a particular course.
3. Acceptable Use
Use the platform for authorized educational, training, and administrative purposes.
You must communicate respectfully, follow instructor directions, and use platform features in a manner that supports learning and does not interfere with other users.
Prohibited conduct includes:
-
Harassment, threats, bullying, discriminatory abuse, or retaliation.
-
Posting unlawful, sexually explicit, or otherwise inappropriate material unrelated to authorized instruction.
-
Sending spam, unauthorized advertisements, or unrelated solicitations.
-
Knowingly submitting false information or falsifying attendance, qualifications, training records, or certificates.
-
Disrupting courses, discussions, assessments, or platform operations.
-
Using the platform to facilitate unlawful activity.
Legitimate instructional discussion of sensitive emergency-service topics must remain professional and appropriate to the course.
4. System Security
You may not attempt to:
-
Access accounts, courses, records, or administrative functions without authorization.
-
Bypass authentication, enrollment restrictions, assessment controls, or other security measures.
-
Upload malicious software or files intended to compromise a device or system.
-
Alter, delete, extract, or disclose information without permission.
-
Probe, scan, overload, or test the security of the platform without prior written authorization.
-
Use automated tools to collect user information, copy restricted materials, or disrupt services.
If you discover a suspected vulnerability, stop the activity and report it privately to the website administrator. Do not access additional records or publicly disclose sensitive technical details.
5. Academic Integrity
You must complete your own coursework and assessments unless collaboration is expressly permitted.
You may not:
-
Have another person complete coursework or assessments for you.
-
Provide unauthorized assistance during an assessment.
-
Copy, distribute, sell, or obtain restricted questions, answer keys, or assessment materials.
-
Plagiarize or submit another person’s work as your own.
-
Manipulate activity tracking or falsely represent participation.
-
Alter certificates, grades, or completion records.
Use of artificial intelligence tools, outside references, or other assistance must comply with the instructor’s directions. If permission is unclear, ask before using those tools for assessed work. Do not submit patient information, restricted course materials, or confidential agency information to outside tools.
Additional academic integrity requirements and consequences may be established in a separate policy or course agreement.
6. Confidentiality and Sensitive Information
Do not upload, post, or send patient-identifying information, confidential incident information, personnel records, passwords, or other restricted information unless the specific activity and method have been expressly authorized.
Removing a name alone may not sufficiently de-identify a case. Images, dates, locations, and incident details can also identify a person.
Use approved fictional or appropriately de-identified examples for training. Patient photographs, recordings, and actual records require any necessary authorization and an approved handling process.
Do not copy or disclose information about other users except as authorized for legitimate training or administrative purposes.
7. Course Materials and Intellectual Property
Course materials may belong to Castlewood Fire & Rescue, instructors, publishers, government agencies, or other rights holders. Access to a course does not transfer ownership of those materials.
Unless permission or an applicable license allows otherwise, you may use materials only for your own authorized training. You may not redistribute restricted materials, publish assessments, remove ownership notices, or use course content commercially.
You retain any rights you hold in your original submissions. By submitting work, you permit Castlewood Fire & Rescue and authorized course personnel to store, review, evaluate, and retain it as necessary for course administration and recordkeeping.
This permission does not authorize unrelated promotional use of your work or likeness.
8. Discussions, Messaging, and Recordings
Use discussions and messaging for appropriate course and department business. Information shared in group activities may be visible to instructors, administrators, and other participants.
Do not record, photograph, screenshot, or redistribute restricted assessments, private communications, or identifiable participants without authorization and any required permissions.
Authorized instructional recordings may be subject to additional notices and access restrictions.
The platform is not an emergency reporting or dispatch system. Messages may not be monitored continuously. For an emergency, call 911.
9. Course Completion and Operational Qualifications
Each course may establish prerequisites, attendance requirements, deadlines, passing scores, practical evaluations, and other completion standards.
Platform access, an activity completion mark, or a platform-generated certificate does not by itself establish:
-
State or national certification.
-
Continuing education approval.
-
Authorization to practice a regulated skill.
-
Qualification to operate apparatus or equipment.
-
Operational clearance or demonstrated practical competency.
Any outside approval, certification, or credit must be specifically identified in the course requirements and remains subject to the issuing organization’s rules.
Training content does not replace applicable laws, agency procedures, medical direction, incident command, or required supervision.
10. Availability, Technical Problems, and Accessibility
Access may be interrupted by maintenance, outages, security measures, or circumstances outside our control. Courses and features may be updated, restricted, or discontinued as necessary.
Report technical problems promptly, especially when they may affect a deadline or assessment. Instructors will determine appropriate adjustments under the course requirements.
Contact the instructor or website administrator as early as practical if you need an accessible format or accommodation. Avoid posting medical documentation in discussions or general course submissions; request instructions for providing it appropriately.
11. Administrative Access and Privacy
Authorized personnel may review accounts, activity logs, submissions, and platform communications for legitimate instructional, administrative, security, or compliance purposes, consistent with our Privacy Policy.
Do not assume that platform messaging or stored content is accessible only to the intended recipient.
Our Privacy Policy explains how information is collected, used, shared, and retained. Account closure or withdrawal from a course does not necessarily result in deletion of official training records.
12. Violations and Enforcement
Depending on the circumstances, violations may result in:
-
A warning or required corrective action.
-
Removal of inappropriate content.
-
Restricted platform privileges.
-
Invalidation of affected coursework or assessments.
-
Course removal or account suspension.
-
Referral through applicable agency disciplinary procedures.
-
Notification to a sponsoring agency, credentialing organization, or appropriate authority when warranted and permitted.
We may temporarily restrict access without advance notice when reasonably necessary to protect users, preserve records, secure the system, or investigate suspected misconduct.
When practical, we will explain the reason for an adverse action and provide an opportunity to respond. You may request a review by contacting the website administrator. If that person made the disputed decision, you may request review by another designated department official.
13. Additional Requirements and Policy Updates
Course syllabi, instructor directions, and applicable agency or credentialing requirements may supplement this policy. Instructors cannot authorize unlawful conduct or waive platform security and confidentiality requirements.
We may revise this policy as services or operational needs change. The effective date will identify the current version. Substantial changes may require renewed acknowledgment before continued access.
14. Contact and Reporting
Report account concerns, inappropriate conduct, suspected security issues, or questions about this policy to:
Castlewood Fire & Rescue, Inc.
Attn: Website Administrator
Email: admin@castlewoodfirerescue.com
Do not include passwords or unnecessary sensitive information in your report.
